Your client list

Search, filter, sort and export the clients your bookings create for you.

Overview

Clients is the address book you never have to fill in. The moment someone sends you a booking request, a client record is created for them with their name, email and phone number already on it. Every request they send after that attaches to the same record, so the list grows by itself as you work.

Each row shows the client's name, email, phone and the date of their last appointment. Tap a row to open their full profile. On a phone the same list draws as cards instead of a table, and a long press on a card opens the same menu the three dots open on desktop.

Finding a client

The search box in the header matches as you type. Search by name, email or phone, whichever you happen to remember. It searches the whole list, not just the rows currently on screen, so you do not need to scroll first.

Two columns sort. Tap Name to go alphabetical, or Last Appointment to bring your most recent clients to the top. Tapping the same column again flips the direction.

Tip

On a narrow window the search box collapses into a magnifying glass to make room for the rest of the header. Tap it and the field expands again.

Filters

The filter button next to the search box opens Filter Clients, which narrows the list on two axes at once. Under Show only you get five chips, and each one is a real threshold rather than a label:

  • New is anyone added in the last 30 days.
  • Regulars is 3 or more appointments.
  • High value is 5 or more appointments.
  • Archived is the clients you have archived, which are hidden from every other filter.
  • All clears the row.

Under Client added you can also limit the list by when the client first appeared: All time, Past 30 days, Past 60 days, Past 3 months, Past 6 months or Past 1 year. Note that this is when they were added, not when they last booked. A dot appears on the filter button whenever anything is active, and Reset inside the panel clears both axes.

What you can do to a row

The three dots on a row (or a long press on the card, on a phone) open a menu grouped into two runs. Under Contact you get Message Client, which jumps to their thread on Messages, plus Copy Phone and Copy Email.

Under Client record you get Edit Client, which turns the row into an editable line for their name, email and phone; Archive Client, which hides them from every filter except Archived; Block Client, which stops them submitting new requests to you; and Delete Client. Archiving and blocking both toggle, so the same row reads Unarchive Client or Unblock Client next time.

Note

Archive is the gentle one. It is pure list tidying and nothing about the client changes. Block and Delete both have consequences, and they are covered in Incidents, no-shows and banning.

Working on several at once

Pick Select from the row menu to enter selection mode, or use the checkbox in the table header on desktop to select everything showing. A bar appears at the bottom of the screen with the count and three actions: Export CSV, Archive and Delete.

Deleting in bulk asks you to confirm first. Because filters and search narrow what "select all" means, it is worth glancing at the count in the bar before you confirm anything.

Exporting your list

Export in the header downloads whatever the list is currently showing, so filter and search first if you want a subset. On a phone the same action lives in the three dot menu as Export CSV. To export particular people rather than a filtered set, select them and use Export CSV from the selection bar.

The file has seven columns: Name, Email, Phone, Status, Locations, Appointments and Last Appointment. It opens in Numbers, Excel or Google Sheets, and it is the file to hand over if a client asks you for a copy of what you hold on them. See Client data requests for that.
