Artist/Client hub

What your clients see

A walk through the Client Hub from your client's side of the screen.

The hub

Every client you take a booking from gets a Client Hub. It is the place they go to read your quote, pick a date, pay a deposit, message you, sign a waiver and see what they have coming up. You never have to send them a link to it by hand. Every email Maelo sends them has a button that lands in the right part of it.

It lives at maelo.app/client-hub. A client who works with more than one artist on Maelo sees all of them there, each with their own space, so nothing of yours is mixed up with anyone else's.

You cannot log into your own hub as a customer, so the closest thing to a preview is in Settings, General, Client Hub, which renders the real thing next to the controls for it.

What you control

The hub carries your banner image, your display name, your handle and your avatar. Upload the banner from the Client Hub panel in Settings, crop it, and pick whether it sits Boxed or Full width. A slider fine tunes the size.

Your name and handle come from Settings, General, Profile Info, and the social links that show in the hub come from Settings, Notifications, Branding. Everything else on the page is the client's own booking, so there is nothing to lay out.

Their first screen

Signing in lands the client on a home screen with a card for each artist they have booked with, and a bell for notifications. Anything new from you, a message, a confirmed session, a status change or a receipt, appears there.

If they have not sent anyone a request yet, the screen tells them their artists will appear once they do. Tapping your card opens your side of the hub.

Inside your part of it

Your hub has two tabs, Overview and Messages. Overview is laid out in four blocks:

  • Active Requests, each with a plain-English state such as "reviewing", "approved, ready to book", "in progress" or "booked".
  • Completed Requests, collapsed until they open it.
  • Upcoming Sessions, with the date, time and location of each one.
  • Links, which carries your Instagram, your website, your flash and your Booking Policies.

Tapping a request opens it in full: the details they submitted, their reference photos, your quote, and whatever action is theirs to take next. While you are still reviewing, they see "Under Review" and nothing to do. Until you have quoted, they can still edit their own request or withdraw it entirely.

Messages

The Messages tab is the same conversation you see on your own Messages page. They can type a reply and attach a photo, and read receipts show them when you have seen it. There is only one thread per client, so nothing is filed under a request they have to go and find.

Note

Your private notes and compliance log entries never appear here. The hub shows the client their own booking and your conversation, nothing else.

Booking and paying

Once you approve a request and send a quote, the request turns into a list of sessions with prices. Each session gets a Schedule now control for picking a date and time from your real availability. Sessions have to be booked in order, so the second one only opens up once the first is settled or is being paid for in the same go.

A bar at the bottom keeps track of what they have picked and carries a Continue button through to checkout, which is headed Confirm & pay. They see what is due today, pay by card through Stripe, and land on a You're booked in screen. If you do not take a deposit on a session, there is nothing to charge and the same flow just confirms the booking.

Tip

The bar never says "0 of 2 selected". A client only ever needs to book their next session today, and the page is written to make that obvious rather than implying they have to schedule the lot.

Waivers and changes

If you require a waiver, a card appears on their booking reading Appointment waiver required with a Complete waiver link. The form asks for their details, walks them through your sections, takes a signature and any photo you have asked for, then Submit Waiver files it. The card then reads Waiver completed. They also get a direct link to it by email, so they can sign before the day.

Whether they can move or cancel a session themselves is entirely up to your booking rules. Both are off unless you turn them on. With rescheduling on, tapping a session gives them Reschedule, which walks through picking a new date and time and lets them leave you a note. Your notice period and your reschedule limit are enforced, and when they run out the screen tells them to message you instead. With both off, they are simply told to contact you directly.
